Position Summary

BCIT’s Marketing and Communications department is seeking a regular, full-time (1.0 FTE) Events & Experiential Marketing Specialist. The Events and Experiential Marketing Specialist is responsible for creating brand advocates through event planning, implementation, and experiential marketing activations. This role provides support to achieve event objectives, manage stakeholder expectations and requirements, and optimize existing processes through providing best-in-class event experiences for our partners. Identifies business improvement opportunities rooted in feedback and research and provides data-driven results that profile the Institute and elevates the BCIT brand. The Specialist works with internal and external partners to support various Institute objectives while showcasing BCIT as a world-class leader in applied education.

 

 

DUTIES AND RESPONSIBILITIES:

Event Planning & Implementation:

  • Plans and organizes 100+ annual events aligning with BCIT vision, requirements from a variety of stakeholders and external markets trend.
  • Researches, develops, and implements event communications across different channels and platforms, adhering to provincial regulations for respect, diversity, accessibility, and inclusion.
  • Nurtures and develops effective working relationships with internal and external stakeholders to ensure effective communication; and manages information following stakeholders’ requirements and timelines in considering of sensitivity and restriction.
  • Collaborates with the digital team to develop and implement communication plans to promote events via a variety of channels, including social media, email, newsletters, websites, etc.
  • Supports event marketing initiatives in the development of direct marketing materials, mailouts, event-specific experiential marketing activities and advises on additional marketing channels to increase event engagement and brand awareness.
  • Employs current and emerging technology for virtual events to drive efficacy and efficiency. Calculates ROI based on the data of attendance and satisfaction etc.
  • Prepares Risk Assessment and Safety Plan for the events and organizes site tours with SSEM partners and stakeholders to maintain an extreme level of professionalism and serenity.
  • Creates and implements scorecard metrics and makes recommendations for events planning, optimization and improvement.
  • Works with the Marketing & Communications team to brainstorm and plan nontraditional, digital-first recruitment and experiential marketing activations.
  • Plans and organizes Institute Student-led Campus Tours by providing administration support, updating the website, and training the student guides.

Operational:

  • Monitors events budget ensuring the spending is within the approved budget. Ensures agreements and contracts requirements are met, deposits and invoices are processed, and event bookkeeping is recorded.
  • Seeks cost efficiency through researching best practices in the Higher Education sector and using new technologies and methods to optimize the current process.
  • Undertakes onsite set up and tear down of event gears, materials, and equipment, banner placements. Loads and unloads equipment to event vehicles. Administrates logistical support for events and activities.
  • Gathers and analyzes stakeholder needs and advises on all aspects of event coordination; documents recommendations; builds post-event data analysis; and shares results.
  • Facilitates planning meetings with key stakeholders; producing agendas, executive briefs, building event timelines and project plans, providing input for speaking notes based on event objectives, creating high level PowerPoint presentations, and finalizing scripting, stage direction and volunteer arrangement, tracking timelines, chairing meetings, and taking minutes.
  • Researches and plans recruitment events and experiential marketing activations utilizing brand awareness framework and stakeholders’ objectives.
  • Provides information and liaises with the Creative team in the digital design and planning of events, including invitations, programs, websites, promotional materials, sponsorship, and/or advertising materials.
  • Creates and maintains events databases through email deployment software and event participant tracking and check-in application.
  • Plans and facilitates volunteer and employee training programs and succession planning as requested by the Manager. Maintains training manuals as required.
  • Participates in professional events and remains current of market trends in the event planning and implementation field.
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
  • Undertakes related duties as assigned, consistent with the job grade for this position.

 

QUALIFICATIONS:

Education:

  • Completion of a Bachelor’s degree in Marketing, Communications, Hospitality Management or similar discipline.


Experience:

  • Two years of general experience, plus up to four years of practical current experience in event management.


Software/Computer Application(s) and Expertise:

  • Demonstrated proficiency in all Microsoft Office applications and the web.
  • Communication/Interpersonal Skills:
  • Demonstrated ability to communicate effectively, diplomatically, and proactively at all levels.
  • Excellent critical thinking and problem-solving skills.
  • Ability to work and lead multiple, simultaneous projects from inception to completion in a team or independently.
  • Extremely resourceful, a self-starter, detail-oriented, and able to multi-task and change gears in a fast-paced environment.
  • Adaptable while maintaining composure and professional performance levels in a dynamic environment.


Other Skills/Abilities:

  • Must complete Level 1 Occupational First Aid Training
  • Ability to manage multiple projects simultaneously.
  • Solid time management skills and ability to prioritize tasks.
  • Must be adaptable to rapid change.
  • Ability to lift 20 pounds.
  • Driver’s license required.
  • Ability to work flexible hours when required, including evenings and weekends.

Salary Grade 9: $64,353 – $69,868 per annum.

Additional Salary Information: External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
